    ABOUT OUR CLIENT TCB Recruitment is proud to recruit on behalf of a purpose-built welfare van hire and sales business based in Fremantle, WA. Our client operates a premium fleet supporting construction, mining, and infrastructure projects across WA and nationally. Backed by a specialist in pipeline and civil construction, they are scaling rapidly toward national coverage. This is a founding team role, you will help shape how they operate.
  THE ROLE The Hire Coordinator owns the end-to-end customer journey, from first enquiry through to van return. You will manage bookings, coordinate logistics, and keep the fleet moving. The role also covers administrative support for a vacuum excavation hire operation.
  HIRE OPERATIONS
  • Manage all enquiries via phone, email, and CRM
  • Prepare quotes, process bookings, and issue hire agreements
  • Coordinate van delivery and collection with drivers and transport partners
  • Track fleet availability, utilisation, and service schedules
  • Conduct hire handover and return inspections
  • Maintain hire records, invoicing, and debtor follow-up
  • Meet and greet customer whilst on reception
  LEAD GENERATION & SALES
  • Prospect for new hire customers — builders, contractors, project managers
  • Maintain and grow customer databases
  • Support the Business Manager with pipeline tracking and reporting
  • Identify upselling and extension opportunities
  ADMINISTRATION & RECEPTION
  • General administration across both hire businesses
  • Supplier coordination, purchase orders, and fleet documentation
  • Compliance record-keeping, AMSA documentation and state registrations
  • First point of contact: meet and greet customers, receive all calls
  WHAT WE'RE LOOKING FOR Essential
  • Experience in hire, logistics, or fleet coordination
  • Confident phone manner and strong written communication
  • High attention to detail, accurate with paperwork and data
  • Proactive and self-directed; comfortable owning tasks end to end
  • Proficient with Microsoft Office; quick to learn CRM/hire software
  • WA driver's licence

Desirable
  • Background in construction, plant hire, or equipment rental
  • Experience with Jobman, HirePoint, Latner, or similar software
  • Understanding of welfare van or mobile accommodation products
  • Experience in a small or early-stage business environment
